Nobody stays on a spreadsheet stack because they love it. They stay because the spreadsheet holds a decade of member records, dues history, and donor relationships, and re-typing all of it into a new system is a job no volunteer has time for. That job is the whole reason switching feels impossible. So for our founding customers, we do it ourselves.
Send us the files you already have. Someone on the EnsembleBase team reads them the way you would, maps every column, imports everything into a private workspace, and walks through it with you over email until it looks right. You never retype a name, and your group never notices a gap.
What we migrate
The short version: the records that make your group your group. In a typical migration that means:
Your member roster, organized into sections, voice parts, and instruments
Member dues history, balances, and waivers
Donor records and gift history
Patron and audience mailing lists
Upcoming events and season dates
It all comes in from the files you can already produce: CSV or Excel exports from Chorus Connection, exports from Little Green Light, Google Sheets, or the workbook a volunteer built in 2013 with a tab per season. The files don't need to be tidy. Inconsistent section names, duplicate rows, and the member listed three ways are normal, and sorting that out is part of the service — we flag every judgment call for you instead of guessing.

Send us your exports
Export what you have from your current tools and email us the files. Any format you can produce is fine, and you never share a password with us. - 2
We map and import, you review
We match your columns to EnsembleBase, import everything into a private workspace only you can see, and send you a summary of what landed where, plus any questions. You click around your own data and tell us what to fix. - 3
Go live when it looks right
When the workspace matches your records, you invite your members and start running the group from it. For most groups the whole process takes a few days from sending the files.
What to expect — the fine print, up front
The whole thing happens over email. There is no phone bank and no required onboarding call: you write to a person on our team, and that person writes back.
We never sign into your old systems. You export your data and send us the files; the export step is yours, the import step is ours.
Your data stays yours. Everything we bring in can be exported from EnsembleBase again at any time, so trying us costs you nothing but the afternoon it takes to export.

Prefer to organize it yourself first?
Some administrators want to consolidate their spreadsheets before handing anything over, and that works too. Start from our roster template: the columns match what we import, so whether you send it to us or bring it in yourself later, nothing gets lost in translation.

What does the concierge migration cost?
Nothing, for founding customers. The hand-done migration is our way of removing the biggest reason groups put off switching. Your EnsembleBase subscription is billed normally at the listed plan prices.
Do you connect to Chorus Connection or Little Green Light directly?
No. There is no direct integration, and we never sign into your accounts. Both systems let you export your data as CSV files; you run the export, send us the files, and we import them into EnsembleBase for you.
How long does a migration take?
Typically a few days from the time we have your files, including your review. Larger or messier datasets can take longer; if yours will, we say so up front rather than leaving you waiting.
Our spreadsheets are a mess. Is that a problem?
It's expected. Most of the files we receive have inconsistent section names, duplicates, and columns that changed meaning over the years. We flag anything ambiguous during your review instead of guessing, so the cleanup happens with you rather than to you.
What happens to our data if we later decide to leave?
You export it and take it with you. Your roster, dues records, donor history, and mailing lists can be exported from EnsembleBase at any time, in the same spirit they arrived: your data, portable, yours.
